Bill Cunningham Fitness is a small group personal training studio in Aiken, South Carolina. For years, owner and head trainer Bill Cunningham booked every session himself, by hand, and it was costing him close to an hour of every working day. The Problem

“Initially we were doing all of our scheduling from me to the client, I was doing it by hand,” he says. “And it was great for a sense of personal connection, but it was terrible from an efficiency standpoint.”

The problem with being the scheduling system is that the work only ever grows. More clients meant more inquiries, more make-ups, more long-range requests to track. Bill describes it as something that “kind of kept spiraling and getting worse and worse.”

“I was spending probably on average about 45 minutes to an hour every day, just doing scheduling-related inquiries, make-ups, doing long-term schedules for people over three months in the future,” Bill says.
That is the better part of a coaching session, gone, every day. Spent on logistics instead of on clients or on the business.
The Solution
Move Scheduling Out of the Inbox and Into the App

That is the whole setup: a rolling month of booking visibility, self-service waitlists, and a two-hour window before class. Bill hasn't turned on the more advanced features yet.
“We've kept it simple to start with to make it easier for us and for them for the transition,” he says.

The scheduling admin that used to eat Bill's mornings effectively disappeared.
“I think in a month I've had four conversations with clients about the schedule,” Bill says. “So it's basically cut that completely out.”
Members Took Ownership of Their Own Schedules
The unexpected win was cultural. Once booking lived in the members' hands, with a clear window and a real waitlist, the incentives changed. So did the behavior.
“It's also made the clients a lot more accountable for their own schedule,” Bill says. “It's made it real to them that if they don't use it, they lose it. And it's kind of changed their mindset a bit.”
Reclaimed Time Is Going Into Growth
With scheduling handled, Bill has turned to the parts of the business he never had room for: building an email list and automating the client texting his team still does by hand.
“We're at a point now where we really have to do some foundational things with our marketing, both with email lists,” he says. “We would love to automate some of our messaging. We still do a lot of text messaging with clients, but we do it still by hand.”
