Elijah Kafer took over CrossFit Novi in Novi, Michigan in July 2021. The gym had 29 members and a $400 per month Mindbody bill.

The first year was a struggle. He picked up only a handful of members across the whole twelve months, and decided the software running the business was the thing to change.

Two years after switching to PushPress, CrossFit Novi had 108 members, quadrupled revenue and eight coaches on payroll. Monthly leads went from around four to an average of 16 to 20.

The Problem

Software his own coaches found hard to use

Simple jobs took too long on Mindbody. Creating a program or adding a member profile was harder than it needed to be, which meant Kafer did most of it himself instead of handing it to his staff.

"It couldn't get any worse. I almost went back to just a spreadsheet to manage my members."

Members with no control over their own accounts

Kafer wanted an app his members would actually open, one where they could register for classes, book personal training or update payment details without asking a coach to do it for them.

Leads going cold on a website that could not answer them

The gym ran on a GoDaddy site with no real marketing behind it. Inquiries came in and sat there.

"It was hard for us to respond. And there would always be a delay, and we would always lose out on a lot of leads."

The Solution

One platform in place of three bills

The $400 a month Kafer paid Mindbody bought him what he describes as a lesser version of PushPress Core. He now runs Core, Grow, Train and a better website for less than that. He also cancelled Beyond the Whiteboard, which delivered daily training to his group classes, and TrueCoach, which handled individual programming.

"The software is infinitely better. But the price point is better too, so it saves the gym money. It's night and day."

Automated follow-up that catches people while they are still interested

With PushPress Grow, an inquiry triggers a workflow the moment it arrives. The gym replies in seconds rather than days, and a coach picks up the conversation from there.

"Now we catch them right away. It's a really good system. Grow starts the communication and then we can pick it up as soon as possible with a human touch."

Programming and tracking in the same app members already have

PushPress Train delivers the daily programming and lets clients log workouts, track milestones and see the rest of the class. That replaced two separate paid tools and gave members one place to go.

A social feed that does community work

The Social Feed in the PushPress Members App became the gym's announcement board and celebration wall.

"The Social Feed has been awesome. We're able to communicate, make announcements and celebrate things. We drop everything in there. It's massive."

Result

Revenue quadrupled and membership went from 29 to 108

Two years on, the gym supports eight coaches and, in Kafer's words, actually runs as a business. He also operates a martial arts gym, Omega Athletics, in the same facility, with another 67 members.

Leads up from around four a month to 16 to 20

A working website plus instant automated follow-up turned a trickle of inquiries into a steady pipeline.

Three software subscriptions down to one

Mindbody, Beyond the Whiteboard and TrueCoach all came off the books, and the remaining bill is smaller than Mindbody was on its own.

Conclusion

Kafer knows why owners put off switching gym software, because he did it too. What pushed him was paying too much for a platform that made everyday work harder.

"It's so much easier and more intuitive to use. So it saves a ton of time, and it gives a better customer experience, too. And those are two massive things."
